The challenge
What problem SaaS management solves
Buying cloud software is easy, and that is exactly the problem. Every department adopts its own tool, the invoices go to different cards, and a year later nobody knows how many services are in use, who uses them or what data they hold.
The same goes for devices. Laptops are bought as needed, set up by hand, and a departing employee's machine comes back without anyone knowing what is on it, or whether it was returned at all.
SaaS management brings both into one list and under one management. What this clean-up looks like in practice, and what it means for costs, is described in the Paxful story.
Components
What SaaS management covers
Software, licences and devices under one overview and one set of rules.
SaaS cost optimisation
We analyse software usage, identify unnecessary costs and propose ways to optimise the budget.
MDM solutions
Mobile devices and laptops managed through a single platform: setup, updates and remote locking when needed.
Licence management
Tracking and optimising licences to avoid paying too much or too little.
Application catalogue
A single application catalogue with automatic deployment and updates.
Usage analytics
Reports on actual software usage, so you can make data-driven decisions and negotiate contracts.
Security policy enforcement
Consistent security policies for all company devices and applications.
Process
How we work
The work starts by measuring actual usage, not by reading contracts.
- 01InventoryEvery SaaS service, the number of licences, contract renewal dates and the device list.
- 02Usage comparisonWho actually uses a licence and who only holds one.
- 03Finding duplicatesFor example, several tools for the same job in different teams.
- 04MDM rolloutDevice setup, updates and security policies from a single console.
- 05A process going forwardWho approves buying a new service, and how a licence is released when someone leaves.
Result
What you get and who it suits
The result is an overview that stays current after the project ends: a list of every SaaS service with its users, contract dates and owners; the specific places where you have more licences than users; a device fleet under MDM with consistent security policies; a checklist for setting up new employees and offboarding leavers; and usage reports that let you negotiate contracts on facts rather than gut feeling.
It suits companies that use ten or more cloud services and where people join and leave. It also suits fast-growing teams where setting up devices and accounts by hand has become a job in itself.
It is less suited to a situation where all the work happens in one or two systems and new people rarely join. Then a tidy list and an agreed owner are usually enough.
Questions
Common questions about SaaS management
What is SaaS management?
SaaS management means managing cloud software licences, users and contracts in an orderly way, in one place. It includes an overview of which services are in use, who actually uses them, when contracts renew and who approves buying new services.
What is MDM, and does a small company need it?
MDM is central device management that lets you set up, update and, when needed, remotely lock laptops and phones. The need usually arises once you have more than about ten devices or people work outside the office.
Can you reduce our software costs?
An inventory usually finds unused licences and duplicate services. How much that saves depends on your current situation, so we do not promise a number in advance. We show you the actual usage, and you decide what to drop or reduce.
Do you also manage licence renewals?
Yes, if that is agreed. We keep a list of contract dates and let you know before an automatic renewal, so there is time to decide whether the service is still needed and at what level.
Can personal devices be managed without invading employees' privacy?
Yes, modern MDM separates the work profile from the personal one. Only the employer's apps and data can be managed; personal photos and messages stay out of reach. The boundaries should be explained to employees in writing before rollout.
